1. Introduction
This Privacy Policy (“Policy”) explains how Versaterm Public Safety Inc. (“Versaterm”, “we,” “us,” or “our”) collects, uses, discloses, and protects your information when you use the vMobile application (the “App” or “Service”).
The App is developed, operated, and maintained by Versaterm for public safety agencies that are our customers. It is intended exclusively for authorized personnel and supports public safety operations. By using the APP, you agree to the collection and use of information in accordance with this policy.
Important user information: Versaterm does not control or determine the purposes for which the collected information (further defined in section 3) is used through the App. The public safety agency using the App is the data controller (or equivalent under applicable law). Versaterm processes information only on behalf of, and under the direction of the public safety agency.
2. Scope
This Policy applies to all users of the App, including employees, contractors, or affiliates of public safety agencies that have entered into agreements with us for our Service. This Policy also applies to all data collected via the App when installed and actively running on authorized mobile devices. Data collected is further defined in Section 3 of this Policy.
3. Information We Collect
3.1 Location Data
- Real-Time GPS Data: We collect precise, real-time GPS location data of the mobile device on which the App is installed. Location tracking remains active while the App is running in the foreground or background, depending on agency configuration.
- Historical Location Logs: We may store historical location data to support mission analysis, incident review, and safety audits.
You can enable or disable location services when you use our App at any time through your device settings. If location is disabled, we recommend informing your agency, as it is critical to the agency’s operations.
3.2 Device and Usage Information
- Device identifiers (e.g., device ID, IMEI)
- Timestamps of activity and location updates
3.3 User-Provided Data
- Profile information (e.g., agency ID)
- Depending on the agency, name, e-mail address, agency information, area of responsibility, user role and responsibilities, user access rights and privileges
3.4 Jurisdictional Requirements
Versaterm acts as a service provider for its public safety agencies that use our Service. Your agency is the data controller and determines the purposes and means of processing data collected through our Service. Accordingly, Versaterm supports and enables compliance with applicable privacy legislation as directed by our public safety agency customers.
4. Purpose of Data Collection
We collect and process data solely to support the following legitimate public safety and operational purposes, or if applicable, as further defined by your agency:
- Real-time user location tracking to enhance safety and coordination
- Event documentation and after-action review
- Compliance with agency accountability standards
- System monitoring and technical support
5. Data Sharing and Disclosure
We do not sell or share user data with third parties for commercial purposes. We may share information only under the following circumstances:
- With authorized agency personnel based on agency configurations and permissions
- With our service providers strictly for hosting, maintenance, and support purposes, subject to confidentiality obligations
6. Data Retention
Our log files containing data collected via our App is retained for a period of two (2) weeks solely for operational purposes.
Your public safety agency may retain data collected through our Service in accordance with its established data retention policies or similar administrative policies. Data collected is generally maintained only for so long as reasonably necessary to fulfill operational requirements and comply with applicable legal obligations.
Depending on the agency, data collected and maintained by the public safety agency is either stored on their own servers, controlled and maintained by the agency or within the cloud-hosted environment provided by Versaterm through a third-party cloud provider.
The following is only applicable if your agency is currently using our CAD cloud-hosted solution
- Data collected and retained by your agency is stored on one of our third-party providers’ servers, either Amazon Web Services or Microsoft Azure. Data may be stored in Canada or the United States, depending on your agency’s requirements and our contractual obligations.
7. Security Measures
We implement administrative, technical, and physical safeguards to protect user data. These include:
- Encrypted data transmission and storage
- Role-based access controls
- Audit logs for data access
8. User Rights and Controls
User rights are managed in coordination with the public safety agency employing the user.
9. Children’s Privacy
The App is not intended for use by individuals under the age of 18. We do not knowingly collect data from minors. If you are a parent or guardian and you are aware that your Child has provided us with Personal Data, please contact us.
10. Changes to This Policy
We may update this Policy periodically. We will notify you of any changes by posting the new Policy on this page. You are advised to review this Policy periodically for any changes. Changes to this Policy are effective when they are posted on this page.
11. Exercising your Rights
If you are a user of the App and wish to exercise your privacy rights, please contact your employing public safety agency directly. As a data processor, Versaterm cannot independently fulfill these requests, but will assist the agency in doing so as required by applicable law and contractual obligations.
